1             Apologies

 

There were apologies from Councillor Keast and George Kevern.

 

Moved Chairperson Waghorn, seconded Deputy Chairperson Hamill and resolved:

That the  Gorge Road and Districts Community Development Area Subcommittee accept the apology.

 

 

2             Leave of absence

 

There were no requests for leave of absence.

 

 

3             Conflict of Interest

 

Gay Munro, Mark Hamill and Ray Waghorn declared conflicts of interest in relation to item 7.1 – Gorge Road Reserve as they are all members of the Gorge Road Heritage Society.  They would take part in discussion on the matter as the Society is yet to decide on projects to fund/complete.

6             Confirmation of Minutes

 

Resolution

Moved Member O'Connor, seconded Chairperson Waghorn and resolved:

That the Gorge Road and Districts Community Development Area Subcommittee confirms the minutes of the meeting held on 12 March 2018 as a true and correct record of that meeting.

 

Reports

 

 

7.1

Gorge Road Reserve

Record No: R/18/3/6144

 

Community Engineer – Brendan Gray was in attendance for this item.

 

Mr Gray advised that the purpose of the report was to get agreement from the Subcommittee on various matters for the Gorge Road Reserve.

 

The Subcommittee noted that the report covered a number of activities proposed as part of works for the Gorge Road Reserve.

 

 

Resolution

Moved Chairperson Waghorn, seconded Deputy Chairperson Hamill recommendations a to k (with changes as indicated by underline and strikethrough) and resolved:

That the Gorge Road and Districts Community Development Area Subcommittee:

a)            Receives the report titled “Gorge Road Reserve” dated 29 March 2018.

 

b)           Accepts or declines the idea for a new sign and decide on the title (Gorge Road Domain/Heritage Trail, Gorge Road Recreation Reserve) and size being 2.4m x 0.6m ($1,260 excl GST) with a mock up being produced prior to the final sign being made and be funded from the Gorge Road reserves.

 

c)            Accepts or declines the external quote by Fulton Hogan to spray the Gorge Road Recreation Reserve track at $340.00 (excl GST) for two sprays and $170.00 (excl GST) if any other additional sprays are required.

 

d)           Accepts or Declines the idea to modify the existing cemetery information shelter into a bus shelter ($6,408.35 excl GST) or build a new structure similar and install on the other side of the school access ($8,633.65 excl GST).

 

e)            Accepts or Declines the quote for fencing along the back of the school grounds taking into account the work that will be required by members prior to this fence being installed ($2,700.00 for fence including materials and installation) and that officers investigate the removal of trees to enable the fence to be built in the future.

 

f)             Accepts or declines the quote to remove the hedge above the stormwater outlet drain in the reserve. This is to remove approximately 6 trees from the hedge row and chip $2,150.00 (excl GST).

 

g)           Requests the Community Engineer to obtain quotes from external contractors to spray the area east of the school for gorse, broom, blackberry, hemlock, elderberry, sycamore and convolvulus and agree that if the quote comes in under $1,000 to progress the spraying.

 

h)           Decide on a design for the bell tower or Agree to park the idea for the bell tower in the interim until a suitable plan and funding can be obtained (if the value is greater than the $10,000 currently available) and that officers consult with the Communications Department for ideas/visuals for consideration by the Subcommittee.

 

i)             Accept or Decline the quote from Zwies Contracting for mowing the Recreation Reserve and spraying the walking track and agree to consider the Cut-N-Edge quote for mowing the Reserve/Domain and officers approach the owners to see if they will match the Zwies Contracting quote for mowing the reserve/domain.

 

j)             Accept or Decline the quote from Delta contracting for mowing the Recreation Reserve and spraying the walking track.

 

k)            Decide on which projects (if any) should be funded/completed by the Gorge Road Heritage Society.

 

k)            Note that there are yet to be projects decided on by the Gorge Road Heritage Society which are to be funded/completed.

 

 

Next Meeting

 

The Subcommittee noted that their next meeting would be on Friday 22 June 2018 at 1pm.
